Using Company Code Filters


Overview

Once you have code filters set up and assigned to component companies, you can use them within your component companies in a number of ways:

Employee Wizards

Code filtering is available for the following wizards and their corresponding windows:

Wizard

Window

New Hire

Job, Earnings, and Deductions/Benefits windows

Multiple Company New Hire

Job, Earnings, and Deductions/Benefits windows

Rehire

Job window

Company Transfer

New Job, Organization, Earnings, and Deductions/Benefits windows

Job Change and Job Change without Pay Rates

New Job, Pay Information, and Organization windows

Depending on what kind of code filters you have set up, you will be able to select from those code sets in the job, pay group, organization level, earning group, or benefit group fields on those windows listed above.

In Chapter 2, "Setting up and Assigning Code Filters," deduction/benefit code filters were used as an example of setting up and assigning code filters to a component company. In this chapter, examples show how job codes, organization level codes, and earning group codes, as well as deduction/benefit group code sets, are setup.

For wizard demonstration purposes below, the examples show partial processes in hiring a new cook in a restaurant. Consider that when assigning a job to an employee, with filtering in effect, there are only 15 or so jobs to scroll through in the Job field, as opposed to the possible hundreds already set up for all component companies.

In this example below, the system shows only the two earnings groups that were set up for the restaurant earnings code filter.

Employee View/Edit Windows

Code filtering is available for the following employee view/edit windows:

After you hired your new cook from the previous wizard examples, you can now view or edit her information. Please note that if you access any employee from the master company level, all codes are available.

Employee Organization

Any organization level code set you created during code set filter setup is available for use on the Organization tab of the employee Main window. The example below shows the departments specifically set up for the restaurant.

Employee Job Allocation

Another employee area where your organization level code sets are available is on the employee Job window, Allocations tab. From here you can select the employee's department for job allocation percentages.

Earnings Summary

If you created earnings group code sets, you can choose an earning group from those sets on the employee Earnings Summary window.

Deductions & Benefits Summary

If you created any deduction/benefit group code sets, you can select a group on the employee Deductions & Benefits Summary window.

Employee Payroll Windows

Code filtering is available for the following payroll features:

Check Print Manager

After you have your company code sets created, your list of codes presented for check printing options is restricted. Please note that if you attempt to print checks from the master company level, all codes are available.

Ensure you are in your component company when you want to use your code sets. In the Check Print Manager, your codes sets are available in the Checks to print grid. You must choose Selected to have the option of selecting from code sets.

After you select a code set, the list of all the codes in that set are available for selection.

 

Pay Data Entry

Code filtering for pay data entry (PDE) is available whether you are processing payrolls in the master or component company. PDE can only filter organization levels. Job codes and locations are filtered in other areas of UltiPro, as discussed earlier in this chapter. Because PDE is the only function where company code filters are active at the master company level, the code filtering is based off of the employee's company code under which he is being paid.
